EMA reimbursement status: what each stage means

Short answer: Submitted and In Review usually require patience; On Hold requires documents or corrections promptly; Approved means the request passed review; Denied means read the reason and decide whether the one EMA appeal is appropriate. FES-EO families may also see Complete before the final decision.

Status and next-action table

Status What it means Your next action
Submitted EMA received the request. Keep the packet and confirmation; do not submit a duplicate.
In Review A processor is reviewing eligibility and documents. Monitor EMA and email for requests.
Complete For FES-EO, required materials have been received and the request is awaiting final determination. Wait for Approved or Denied.
On Hold Step Up needs more information or a correction. Open the note and respond within 30 days. A correction restarts the review period.
Approved The reimbursement passed review. Monitor the scholarship account/payment process and retain records.
Denied The request did not meet the reviewed requirement. Read the reason; prepare one EMA appeal only if new or clearer evidence answers it.

Anonymized status example

A $96 therapy-material request changes from Submitted to On Hold because the statement shows a payment but not the purchased item. The family uploads the itemized invoice that matches the date and amount. The request returns to review; the review clock restarts from the correction date.

Timing to plan around

The 2026–27 handbooks allow up to 60 days after all necessary supporting documents are received. If an On Hold correction adds or replaces evidence, that period begins again. This is why a complete first submission matters.
